1. Purpose

This Work Instruction explains how to create and maintain individual records within the AI System Inventory Register.

It provides a standardized method to ensure that every AI system is documented consistently.

2. Preconditions

Before creating a new inventory record, verify that:

the AI system exists;
the system is used or planned for use by Firmă demonstrativă;
sufficient information is available to identify the system.

3. Required Information

For each AI system collect:

AI System ID
AI System Name
Provider
Version (if applicable)
Business Purpose
Business Owner
Technical Owner
Deployment Status
EU AI Act Role
Initial Risk Classification
Human Oversight
Date Added
Last Review Date

4. Instructions

Step 1

Open:

REG-001_AI_System_Inventory_Register.md

Step 2

Check whether the AI system is already registered.

If yes:

update the existing record.

If no:

create a new record.

Step 3

Assign the next available AI System ID.

Example:

AI-001
AI-002
AI-003

Step 4

Complete every mandatory field.

No mandatory field shall be left blank.

If information is unavailable, enter:

"To Be Determined (TBD)"

Step 5

Verify accuracy.

Confirm:

Provider
Purpose
Owner
Deployment Status
AI Act Role

Step 6

Save the Register.

Step 7

Record supporting evidence in:

EVID-001_AI_System_Inventory_Evidence.md

Step 8

If the inventory changes significantly, initiate review according to PROC-001.

5. Quality Checks

Verify that:

✓ AI System ID is unique.

✓ System Name is correct.

✓ Provider is identified.

✓ Owner is assigned.

✓ Purpose is defined.

✓ Human Oversight is documented.

✓ Risk Classification is completed.

✓ Review Date is recorded.
