1. Purpose
This procedure defines how Firmă demonstrativă collects, protects, reviews and maintains logs generated by Artificial Intelligence systems.
The objective is to ensure that AI operations remain traceable, measurable and auditable throughout the system lifecycle.
2. Scope
This procedure applies to:
- internally developed AI systems;
- externally acquired AI systems;
- production AI systems;
- proof-of-concept AI systems;
- AI infrastructure components;
- monitoring services supporting AI systems.
3. Responsibilities
Managing Director
Approves major corrective actions resulting from monitoring activities.
AI Governance Owner
Responsible for:
- coordinating logging activities;
- reviewing monitoring reports;
- maintaining the Logging and Monitoring Register.
AI System Owner
Responsible for:
- implementing logging mechanisms;
- reviewing operational events;
- reporting anomalies.
Compliance Owner
Responsible for:
- verifying log retention;
- supporting audits;
- reviewing compliance evidence.
4. Procedure
Step 1 — Identify AI System
Locate the AI system in:
REG-001_AI_System_Inventory_Register.md
Step 2 — Configure Logging
Ensure logs record, where applicable:
- system identifier;
- event timestamp;
- user or service account;
- executed operation;
- system response;
- error messages;
- security events.
Step 3 — Configure Monitoring
Monitor:
- availability;
- performance;
- failures;
- unusual activity;
- configuration changes;
- security alerts.
Step 4 — Review Logs
Review logs:
- routinely;
- after incidents;
- after significant changes;
- before inspections.
Record significant findings.
Step 5 — Update Register
Open:
REG-009_Logging_Monitoring_Register.md
Record:
- AI System;
- logging status;
- monitoring status;
- review date;
- reviewer.
Step 6 — Correct Issues
If deficiencies are identified:
- document the issue;
- investigate the cause;
- implement corrective actions;

- AI systems change;
- infrastructure changes;
- legislation changes;
- significant incidents occur.
