1. Purpose
This procedure defines how Firmă demonstrativă establishes, performs, monitors and documents Human Oversight for Artificial Intelligence systems in accordance with Regulation (EU) 2024/1689 (EU AI Act).
The procedure ensures that AI supports human decision-making while responsibility and accountability remain with designated human personnel.
2. Scope
This procedure applies to:
- internally developed AI systems;
- externally acquired AI systems;
- proof-of-concept AI systems;
- production AI systems;
- future AI deployments.
3. Responsibilities
Managing Director
- approves Human Oversight arrangements where required.
AI Governance Owner
Responsible for:
- coordinating Human Oversight activities;
- maintaining the Human Oversight Register;
- reviewing effectiveness.
AI System Owner
Responsible for:
- implementing Human Oversight controls;
- documenting oversight measures;
- reporting significant changes.
Human Operator
Responsible for:
- reviewing AI outputs;
- applying professional judgement;
- overriding AI decisions when necessary;
- reporting anomalies.
Compliance Owner
Responsible for:
- verifying compliance with the EU AI Act;
- supporting internal audits and inspections.
4. Procedure
Step 1 — Identify AI System
Locate the AI system in:

Step 2 — Determine Human Oversight Requirements
Identify:
- intended purpose;
- operational context;
- decision impact;
- required level of supervision.
Step 3 — Assign Responsible Personnel
Assign qualified personnel responsible for:
- supervising AI operation;
- validating AI outputs;
- approving significant decisions.
Step 4 — Define Oversight Controls
Document:
- review process;
- approval process;
- override mechanism;
- escalation process;
- incident reporting process.
Step 5 — Record Oversight
Update:
REG-007_Human_Oversight_Register.md
Record:
- responsible person;
- oversight level;
- review frequency;
- approval date.
Step 6 — Monitor
Monitor:
- AI performance;
- operator feedback;
- incidents;
- abnormal behaviour.
Step 7 — Review
