1. Purpose

The purpose of this policy is to establish the mandatory requirements for identifying, documenting, maintaining and reviewing all Artificial Intelligence systems used, developed, deployed or integrated by Firmă demonstrativă.

The AI System Inventory serves as the authoritative source of information regarding AI systems within the organization and supports compliance with Regulation (EU) 2024/1689 (EU AI Act).

2. Scope

This policy applies to:

all employees;
contractors;
consultants;
AI developers;
AI deployers;
AI providers;
third-party AI services used by Firmă demonstrativă.

3. Policy Statements

Firmă demonstrativă shall maintain a complete AI System Inventory.

Every AI system shall be registered before operational use.

Every AI system shall have:

a unique identifier;
a system name;
an owner;
a business purpose;
an AI provider;
an intended use;
a deployment status;
a preliminary risk classification;
identified human oversight.

4. Inventory Maintenance

The inventory shall be updated whenever:

a new AI system is introduced;
an AI system is retired;
ownership changes;
functionality changes;
deployment changes;
regulatory requirements change.

5. Roles and Responsibilities

Managing Director

Approves the policy.

AI Governance Owner

Maintains the AI Inventory.

System Owners

Provide accurate inventory information.

Users

Notify changes affecting AI systems.

6. Compliance

Compliance with this policy is mandatory.

Failure to maintain an accurate inventory may affect regulatory compliance and inspection readiness.
